How much does a custom CRM cost in 2026? Prices by region

A custom CRM can cost a few thousand euros or a quarter of a million dollars. The difference comes from scope and from where the team works. Here are published price ranges by project size, developer rates by region, running costs, and a 3-year comparison with HubSpot, Salesforce, Pipedrive and Zoho.

How much does a custom CRM cost: hourly development rates in the United States, the United Kingdom, Western Europe and Central and Eastern Europe

How much does a custom CRM cost? (short answer)

Published estimates from US and European development firms put a small custom CRM or MVP at about $15,000–50,000, a mid-size system with several processes and integrations at $50,000–140,000, and a large one at $140,000–250,000 or more (Purrweb, Cleveroad, ScienceSoft). Agencies in Central and Eastern Europe often quote far less. A Czech agency lists a small CRM at €3,000–6,000 and a mid-size one at €6,000–12,000 (owlio.cz).

The gap comes from two things: what each firm calls "small" or "mid-size", and the hourly rate, which depends mostly on where the team works. After launch, plan for 15–25% of the build cost per year for running costs. Off-the-shelf CRMs cost $14 to $195 per user per month, so a custom CRM tends to pay off for larger teams, unusual processes or deep integrations, not for a small team with a standard sales pipeline.

Ranges from Purrweb (April 2026), Cleveroad (December 2025), ScienceSoft, Keyhole Software (January 2026) and owlio.cz (2026, converted at about 25 CZK per euro). Firms define "small" and "mid-size" differently, so compare scope, not only price.

Software developer rates by region

Agency and outsourcing rates, not salaries. Sources define regions differently and some disagree, so the table shows the combined range. Converted at ECB reference rates of 9 October 2026.

Price is roughly hours × hourly rate. The same 1,000 hours of work costs about $20,000–50,000 in South Asia, $40,000–95,000 in Central and Eastern Europe and $90,000–250,000 in the United States.

A lower rate does not automatically mean a cheaper project. Communication, overlap in working hours, experience with your kind of business and how well the team scopes the work affect the total as much as the rate. A clear scope at the start saves more than haggling over the hourly price.

What drives the cost of a custom CRM

  • Processes and roles: one sales team is a different project from sales, service and invoicing with separate permissions.
  • Integrations: each connection to accounting, email, telephony, the website or an ERP is separate work. Purrweb estimates $1,500–2,500 for a basic integration and $6,000–10,000 or more for a complex one (Purrweb).
  • Data migration from an old CRM or from spreadsheets.
  • Automations and AI: automatic tasks and emails, call summaries, suggested next steps.
  • Security and compliance: requirements such as GDPR in Europe or HIPAA for US health data add design and testing work.
  • Discovery at the start: the more precise the scope, the fewer surprises in the budget.

How much do off-the-shelf CRMs cost?

US list prices on 12 October 2026. Prices in the UK, EU and Australia differ, and since 1 October 2026 HubSpot uses a different seat model for new UK and EU customers.

Licences: price per user × users × 36 months with annual billing, plus HubSpot’s onboarding fee. Custom CRM: build cost plus 15–25% a year for running costs, which does not depend on the number of users.

When does a custom CRM pay off?

Two things stand out. For a small team with a standard sales process, an inexpensive off-the-shelf CRM such as Zoho or Pipedrive is hard to beat, and in that case we recommend it ourselves. A custom CRM starts to pay off when licences grow with every new user, when you need an expensive tier for one feature, when your process or integrations do not fit the tool, or when you want to own the code and the data.

The table above shows where the break-even point sits. Against low-cost CRMs such as Zoho or Pipedrive, a custom CRM rarely wins on licence savings alone. Against HubSpot or Salesforce, a small custom CRM can cost less over three years from about 25 users. Where the team is based moves that point a lot: at Central European rates it comes sooner, at US agency rates later. We compare the trade-offs beyond price in custom CRM vs HubSpot.

What does a custom CRM cost to run?

After launch you pay for hosting, backups, security updates and small changes. Keyhole Software puts maintenance and support at 15–25% of the build cost per year, plus 10–15% a year for new features (Keyhole Software). A benchmark of 24 software products in Germany, Austria and Switzerland found a median of 21–26% a year, with stable internal tools at 10–16% (Wavect, 2026).

Unlike licences, this cost does not grow with every new colleague, and the code and data stay yours.

How to keep the cost of a custom CRM down

  • Start with an MVP: build the one process that hurts most, then add modules based on how people actually use it.
  • Do not migrate everything: old data nobody needs only makes the migration more expensive.
  • Keep the tools that work: connecting your accounting software or email is cheaper than replacing them.
  • Fix the scope after discovery: a fixed price for an agreed scope protects your budget.
  • Choose the region deliberately: a Central or Eastern European team can cost two to three times less per hour than a US one. Check references, overlap in working hours and who owns the code.

Frequently asked questions about custom CRM costs

How much does a custom CRM cost?
Published estimates range from about $15,000–50,000 for a small system or MVP to $140,000–250,000 or more for a large one. Agencies in Central and Eastern Europe often quote a few thousand euros for a basic CRM.

Is a custom CRM cheaper than HubSpot?
For larger teams it can be. Ten users on HubSpot Sales Hub Professional cost about $33,900 over three years and 25 users about $82,500, while the running cost of a custom CRM does not grow with users. For a small team with a standard process, a low-cost CRM such as Zoho or Pipedrive is usually cheaper.
